JOB TITLE: OFFICE ADMINISTRATOR-(SOUTH SUDAN)

Q-Sourcing Limited trading as Q-Sourcing Servtec is a manpower management solutions firm operating in the East African Region in the countries of Uganda, Kenya, Tanzania, Rwanda, and South Sudan.

On behalf of our client, we are looking for a competent, skilled, and experienced Office Administrator to work in South Sudan.

Job summary:

The main purpose of this role is to ensure the smooth and effective daily running of the office, providing administrative support to all employees

DUTIES & RESPONSIBILITIES:

  • Facilitates repairs and maintenance of the office and all office equipment, ensuring the general presentation of the office is up to the required standard, and all equipment is maintained in good working order.
  • Periodically inspects office furniture and assists with record keeping and verification.
  • Ensure common areas – Boardroom, Cafeteria is always neat & the general up keep and tidiness of the office
  • Manages inventory of office consumables to ensure adequate levels of stock,
  • Maintain log of office keys
  • Process and follow up for approval of LPO & invoicing of office supplies & services
  • Manage & coordinate general office functions, including lunches & beverages during staff meetings & events
  • Take stock of kitchen supplies in the office
  • Supervise the cleaning & support staff
  • Follow up on service of all kitchen equipment with the supplier
  • Provide executive assistance & support to the EXCO in all business aspect of the company
  • Make all travel and accommodation, both local and international for the CEO and other employees as per the policy
  • Process and follow up for LPO approval
  • Prepare monthly report detailing amount spent per employee per department
  • Make arrangement with hotels for credit facilities in all regions of our client’s operations
  • Any other duty assigned in management support
  • Decides which office equipment requires repair

Decides when office and workshop supplies need to be replenished.

KNOWLEDGE, SKILLS AND EXPERIENCE:

  • Diploma in Business related course
  • At least 2 years working experience
  • Strong administrative skills.
  • Familiarity with common word processing, spreadsheet and email packages.
  • Good communication skills.
  • Good organisational ability and be able to work with minimum supervision.
  • Keen attention to detail.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Experience working in a team-oriented, collaborative environment.
  • Understanding of stock management and movement
